Automated Membership Door Access System

The Challenge

Some things simply don't work well together. For Lightweight, a gym in Ontario, this was their payment and door-access systems. Not only did they not work well together, they didn't work together at all, causing the team to waste several hours a week making sure these systems were in sync. When members cancelled their memberships, someone would have to go into the door system to update their access permissions. Sometimes this wouldn't happen for a week or two, resulting in stolen memberships. Not only was this manual work costing them time but also money in stolen memberships.

The Solution

To fix this, we needed to find a way to connect the two systems together. Adding a third system that would require management was out of the question. We needed to create a solution to connect the two together without requiring any additional configuration or management.

We built a bridge between the two systems that operated entirely in the background. No admin panels, no configurations, it just worked. All the required configurations already lived in their payment system, we created the connection to synchronize the business systems. Membership management time went from ~4h per week to 0, and stolen memberships from expired customers were no longer an issue.

Time Saved: Eliminated 4 hours of weekly manual work, freeing staff to focus on member experience and business growth.

Revenue Recovered: Closed the gap that allowed expired members to continue gym access, ensuring all active users maintain current memberships.
